This is Van Vulpen’s Privacy Statement, in which we explain how we handle your personal data. Our privacy policy is based on the General Data Protection Regulation and on the principle that the processing of personal data must be lawful, fair and transparent. This Privacy Statement applies to the following websites:

1.1 Consent

To process your personal data, we require your consent. This can be given in any of the following ways:

1.2 Contact form on the website

By submitting your data using a contact form on our website, you agree to this Privacy Statement. If you complete a contact form on our website, the data you provide will be retained for as long as is necessary to process your message or email fully and correctly. For commercial purposes, we may contact you by email or by telephone.

1.3 Newsletter

Through our newsletter, we keep our contacts informed about our products and/or services. If you no longer wish to receive our newsletter, you can unsubscribe using the link provided; your data will then no longer be retained. At the bottom of the newsletter, you will find a link to our Privacy Statement.

1.4 Contract with new / temporary employees

New or temporary employees receive this Privacy Statement in the staff handbook, which is provided with their Employment Contract. The personal data included in that contract are used for arranging employee insurance, filing tax returns and providing occupational health services. A detailed overview is included in the processing register, which is accessible to employees. By signing their Employment Contract, the employee consents to the use of the personal data included in it.

1.5 Responding to a vacancy

If you register as a potential employee, the personal data included on the registration form are recorded in our matching system. Upon registration, you will receive a copy of our Privacy Statement. By signing the registration form, you consent to the use of your personal data. If no match has been made within two years, your data will be deleted from our system unless you indicate that you wish to remain registered for a longer period.

1.6 Flexitime employment contract

Flexitime employees receive this Privacy Statement in the Subcontracting handbook. The personal data included in the contract are used for arranging employee insurance, filing tax returns and for providing occupational health services. A detailed overview is included in the processing register, which is accessible to flexitime employees. By signing the Employment Contract, the flexitime employee consents to the processing of the personal data contained in it.

1.7 Purchase and construction agreement

The Purchase and Construction Agreement specifies the purposes for which your personal data are used. Our Privacy Statement is attached to that agreement as an appendix. By signing that agreement, you consent to the specified use of your personal data. After the warranty period ends, your personal data will be deleted from our systems unless they have to be retained for legal or tax purposes.

1.8 Withdrawal of consent

You may at any time decide that you no longer wish to consent to the use of your personal data; see the chapter entitled “Access to, Alteration and Deletion of your data”.

1.9 Processing of personal data

For each category of data subject, specific processing registers set out which personal data are processed, by whom, and the retention periods applied. These registers are available upon request through our Privacy Officer.

1.10 Disclosure of personal data to third parties

For certain processing operations, it may be necessary to disclose your personal data to third parties; this may be due to statutory or contractual obligations, such as tax return filings and employee insurance. We will never disclose more data than is strictly necessary. Personal data are not processed by parties in ‘third countries’ (countries outside the EU).

2. Information security

Our organisation has implemented management measures to ensure that the confidentiality, integrity and availability of information are protected. Information includes both digital and analogue data (e.g. documents and notes). Such measures include security measures designed to prevent the misuse of, or unlawful access to, personal data.

3. Complaints

If you have any complaints about the way we handle your personal data, you may address them to our Privacy Officer. If you consider that we have not handled your complaint satisfactorily within the time limits prescribed by the General Data Protection Regulation, you may contact the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

4. Access to, alteration and deletion of your data

If you wish to access your personal data or have them corrected or deleted from our administration and files, you may contact our Privacy Officer. You may only make such a request if it concerns your own data or the data of your minor children, and you must be able to provide proof of identity. Personal data may only be deleted if there are no legal objections to that.
